How to Fill Out a PDF Form
If the form has fillable fields, just click and type in Chrome, Edge, Preview or Adobe Acrobat Reader, then save. If it isn't fillable, use Acrobat Reader's Fill & Sign, Preview's text tool or Edge's Add text to type on top. If you see 'Please wait…', it's an XFA form: open it in Adobe Acrobat Reader desktop.
Step 1: Is the form fillable?
Open the PDF and click where the answer goes. If a blinking cursor or highlighted box appears, it’s fillable. Many viewers also highlight the fields or show a banner saying “This document contains interactive form fields”.
Filling a fillable form
- Chrome/Edge: open the PDF, click fields, type, then click the download/save icon.
- Mac Preview: click fields and type; File > Save.
- Adobe Acrobat Reader: click and type; File > Save.
- iPhone: open in Files or Mail and tap the fields.
- Android: open with Adobe Acrobat Reader or Google Drive’s PDF viewer, which supports forms.
Filling a non-fillable (flat) form
- Adobe Acrobat Reader: Fill & Sign > click anywhere to add text, checkmarks, dates.
- Mac Preview: Markup > T (Text) and drag the text box into place.
- Edge: Add text.
- iPhone Files: Markup > + > Text.
“Please wait…” or a blank form
It’s an XFA form. Browsers, Preview and phone apps can’t display it. Download the file and open it in Adobe Acrobat Reader on Windows or Mac. See PDF forms explained.
Before you submit
- Reopen the saved file to confirm your answers are there.
- Sign if required.
- Consider flattening (Print > Save as PDF) so answers display the same everywhere.
Frequently asked questions
Why didn't my form entries save?
Some viewers let you fill but not save, or you closed without saving. Use Acrobat Reader, Edge, Chrome (Download/Save) or Preview, and check the saved file by reopening it.
How do I lock my answers so they can't be changed?
Flatten the form: print it to PDF (Print > Save as PDF). The fields become ordinary page content.
